Structure Your Flow
Knowledge is often created, shared, used, or managed inside the company. It is important to have a knowledge structure, so you know who knows what in the company, who should know something in the company, and other little bits and bobs about miscellaneous information you can pick off the side. This means that while knowledge and information should constantly be flowing in your company, a structure for that flow has to be in place so that information doesn’t go to the wrong person, and so we don’t overload our staff with information that they don’t need. If knowledge has to be created and communicated, there have to be tools or templates available for the employees to communicate it to the company, and they have to be encouraged to use them. They also need to be guided towards where the information is meant to go and how to store it. For example, Kendrick wants to file for a request for leave of absence, on account of his being ill. He fills out the appropriate template form with information about his planned leave of absence, and submits it to his manager, who notes it and wishes him well. What we should notice there is that because he submitted it to the appropriate authority, that authority now knows, and can transmit the knowledge that Kendrick won’t be coming in to work on a certain day, and that feeds better decision-making in the company. Sometimes, knowledge and information may have to be obtained from a specific person in the company or out of it. Retain Knowledge Constantly
Memory serves well in the field of knowledge management, and keeping certain knowledge and information can lead to ease in operation, especially when it comes to company processes and problem-solving. Suppose that a crisis occurs in the company, and later, your company discovers the cause of the issue. They draw upon current knowledge in the company, plus some from experts, to synthesise a solution, and the crisis is resolved. The procedure and knowledge used in solving the crisis must then be retained so that the company knows what to do if ever such a thing happens again. The same holds true for the various processes that certain employees execute for successful operations on their end; retaining them means that you can offer them to whoever fills his or her position, should the employee ever leave the company. For example, if Chris decides to leave the company because he got a more lucrative offer somewhere else, he should leave behind various files detailing his work and how he did it with the company, so that his knowledge and expertise in the job he left behind can guide the next employee who takes his place. He also leaves behind several files detailing his responses to certain crises he was responsible for fixing, and in doing so, it guides the standing employees of the company when such a crisis happens again. The point of this is knowledge management, and the resource of knowledge being used for the good of the company. By building on existing knowledge employees don’t have to relearn each time someone leaves.
